The short answer

To plan a wedding, start about 12 months out: set your budget and guest count, choose a date window, and book the venue, since the venue fixes your date and capacity. Then book key vendors, arrange guest lodging, order attire and invitations, build a day-of timeline, and confirm every vendor in the final week.

How do you plan a wedding step by step?

Plan a wedding in 9 steps, each one unlocking the next. For the task by task version, month by month, use the wedding planning checklist.

  1. Step 1: Set your budget

Agree on a total budget and who is paying before you look at anything else. The budget decides which venues and vendors are realistic, so it comes first.

Build a budget with the wedding budget planner

  2. Step 2: Estimate your guest count

Draft the guest list and turn it into a working headcount. The guest count sets the size of the venue, the catering order and the rentals, so it moves the budget more than any other choice.

  3. Step 3: Choose a date window and season

Pick a season or two or three possible dates rather than one fixed day. A flexible window leaves more venues to choose from, and off-peak months and weekdays usually cost less.

  4. Step 4: Book the venue

Tour three to five venues that fit your guest count and budget, compare each on the total price for your dates, and sign the contract. The venue fixes your date and capacity, so most other vendors are booked after it.

  5. Step 5: Book your vendors

Book the vendors with the fewest open dates first: usually the photographer, the caterer, a planner or day-of coordinator, and the band or DJ. The florist, officiant, hair and makeup, cake and rentals follow.

  6. Step 6: Arrange lodging for guests

Decide where guests will sleep. Block hotel rooms near the venue, or book a venue with onsite lodging so the wedding party and close family stay where the wedding happens.

  7. Step 7: Order attire and invitations

Order wedding attire six to eight months out to leave time for alterations, and order invitations around the same time. Send save the dates as soon as the venue is booked.

  8. Step 8: Build the day-of timeline

Write one timeline for the wedding day, from hair and makeup to the last dance, and share it with every vendor. Add a rain plan for anything outdoors.

  9. Step 9: Confirm everything and enjoy the day

In the final week, confirm arrival times with every vendor, give the caterer final numbers, and hand day-of questions to one coordinator or friend so you can be present.

How far in advance should you plan a wedding?

Plan a wedding about 12 months in advance. A year leaves time to compare venues and book the vendors with the fewest open dates before they fill. A smaller wedding on an off-peak date or a weekday can come together in about six months, as long as the date stays flexible.

How do you plan a wedding on a budget?

Plan a wedding on a budget by fixing the total first and cutting the guest count before any line item, because the headcount drives most other costs. Then use the wedding budget planner to split the total by category.

  • Cut the guest list before anything else: every guest adds catering, rentals and seats.
  • Choose an off-peak month or a weekday, when venues and vendors usually charge less.
  • Hold the ceremony and the reception in one place, so you pay for one site and no transport.
  • Compare venues on the total for your dates, including every fee and rental, not the headline rate.
  • Pick the three things that matter most to you and spend less on the rest.
  • Track every deposit and payment in one budget from the first booking.
  • Ask what each venue includes: tables, chairs, lighting and lodging can each be a separate bill.

Should you choose a full-service venue or a private estate?

The venue you choose decides how much else you plan. A full-service venue bundles more for one day; a private estate with lodging keeps the whole weekend in one place.

Wedding planning questions, answered

What is the first step in planning a wedding?

Set your budget and estimate your guest count first. Those two numbers decide which venues fit, and the venue fixes your date and capacity, so almost every other booking waits on them.

How long does it take to plan a wedding?

Most couples give themselves about 12 months, which leaves time to compare venues and book popular vendors before their dates fill. A smaller wedding on an off-peak date or a weekday can be planned in about six months.

What order should you book wedding vendors in?

Book the venue first, then the vendors with the fewest open dates: usually the photographer, the caterer, a coordinator, and the band or DJ. Book the florist, officiant, hair and makeup, cake and rentals after those.

Can you plan a wedding without a wedding planner?

Yes. Plan with a month by month checklist and one shared budget, and hire a day-of coordinator to run the timeline on the wedding day. A venue that includes more of the basics, such as catering and rentals, also leaves fewer separate vendors to manage.
