Privacy Policy

TheWedStay.com is committed to protecting your privacy and the personal information you share with us. This Privacy Policy explains how we collect, use, and safeguard your information when you use our services.

This policy applies to our website (www.thewedstay.com), our mobile app, and the related services we operate (together, the "Services"). It does not apply to the independent practices of venues, vendors, or other third parties, even where you reach them through our platform.

Information We Collect

We collect information that you provide directly to us, such as when you create an account, make a booking, or contact us for support. This may include your name, email address, phone number, payment information, and any messages or content you provide.

Third-Party Authentication

When you sign in using Google Sign-In, we collect your basic profile information provided by Google, including:

  • Your name
  • Your email address
  • Your Google profile picture (if available)
  • Your unique Google ID

This information is used solely to create and manage your WedStay account. We do not access any other data from your Google account, such as your contacts, calendar, or Google Drive files.

We also automatically collect certain information about your device and use of our services, including your browser type, operating system, referring URLs, access times, and pages viewed.

Information You Provide About Others

Some features let you share information about other people, for example when you add your partner or guests to a wedding page, send invitations or collect RSVPs, build a guest list or seating chart, or add the vendors you have hired to your wedding roster. When you provide personal information about another person, you represent that you are authorized to provide it and that we may use it as described in this policy. We use that information to provide the requested feature.

Sensitive Information

We do not require sensitive personal information to use our Services, and we ask that you not submit it. If you voluntarily include such details in something you submit (for example, a religious tradition mentioned in an inquiry about your ceremony), we use them solely to provide the service you requested.

The table below summarizes the categories of personal information we collect, where it comes from, why we use it, and whether it is shared with advertising partners.

How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve our services
  • Process transactions and send related information
  • Send you technical notices, updates, security alerts, and administrative messages
  • Respond to your comments, questions, and provide customer support
  • Communicate with you about products, services, offers, promotions, and events
  • Monitor and analyze trends, usage, and activities in connection with our services
  • Personalize and improve your experience
  • Facilitate contests, sweepstakes, and promotions
  • Detect, investigate, and prevent fraudulent transactions and other illegal activities
  • Enforce our agreements and establish, exercise, or defend legal claims
  • Create aggregated or de-identified data, as described below

Information Sharing

We do not transfer your personal information to third parties in exchange for money. However, we may provide information to third-party partners, such as advertising partners, analytics providers, and social networks, who help us market and measure our services. Because these partners may use that information for their own purposes, our provision of it may be considered a "sale" or "sharing" for cross-context behavioral advertising as those terms are defined under the California Consumer Privacy Act and other US state privacy laws. You can opt out at any time using the "Your Privacy Choices" link in our website footer, or by enabling a Global Privacy Control (GPC) signal in your browser. See Your California Privacy Rights below.

We may also share your information with:

  • Other users and counterparties as necessary to facilitate bookings and transactions, including the property owner or manager of a venue you inquire about or book, and vendors you choose to contact
  • Law enforcement, government agencies, or other parties when we believe in good faith that disclosure is necessary to comply with law or legal process (such as a subpoena or court order), enforce our Terms of Service or other agreements, protect the rights, property, or safety of WedStay, our users, or others, or detect, prevent, or address fraud, security, or technical issues
  • Our professional advisors, such as lawyers, accountants, auditors, and insurers, where necessary in the course of the professional services they provide to us
  • A buyer, successor, or other party in connection with an actual or prospective merger, acquisition, financing, reorganization, bankruptcy, or sale of some or all of our assets, including during negotiation or diligence for such a transaction, in which case personal information may be among the transferred assets
  • Any other party with your consent or at your direction

Service Providers We Share Information With

Supabase (database and authentication hosting), Stripe (payment processing), Affirm (financing), HubSpot (CRM and email delivery), Google Analytics (website analytics), Meta and TikTok (advertising measurement), AppsFlyer (mobile app analytics), and our email and SMS delivery providers. Each of these providers maintains its own privacy policy governing the information it receives.

International Transfers

WedStay operates in the United States, and the information we collect is stored and processed there. Where personal information is transferred to us from outside the United States, we rely on appropriate safeguards, including the European Commission's Standard Contractual Clauses and the UK International Data Transfer Addendum where applicable.

Aggregated and De-Identified Data

We may aggregate or de-identify personal information so that it can no longer reasonably be linked to you or your device. We may use and disclose aggregated or de-identified data for any lawful purpose, including to analyze demand and booking trends, publish research and reports (for example, our wedding cost and pricing studies), improve our Services, and develop new products and features. Where we maintain de-identified data, we commit to maintaining and using it only in de-identified form and will not attempt to re-identify it, except as permitted by law to test whether our de-identification process satisfies legal requirements.

Vendor Marketplace Information

Our vendor marketplace displays information about third-party wedding professionals, including business descriptions, service offerings, pricing estimates, policies, and credentials. This information may be sourced from vendor-submitted applications, publicly available vendor websites, third-party review platforms, or other public sources.

WedStay does not independently verify, endorse, or guarantee the accuracy, completeness, or currency of vendor information displayed on our platform. Vendor policies, pricing, availability, and terms are controlled by the vendors themselves and may change at any time without notice to WedStay. When you contact or engage a vendor through our platform, your contractual relationship is directly with that vendor. We encourage you to confirm all details directly with the vendor before making any commitments.

When you submit an inquiry to a vendor through our platform, your contact information and event details are shared with that vendor to facilitate their response. Vendors and property owners are independent businesses, not WedStay's agents. Once your information is shared with them, their use of it is governed by their own privacy practices, which we do not control and are not responsible for. If you have questions about how a vendor or property owner handles your information, contact them directly. Please review our Terms of Service and Vendor Terms Addendum for additional details about vendor relationships and data handling.

WedStay One Wedding Pages and Guest Content

WedStay One lets couples create a wedding page with features such as RSVP collection, schedules, seating, a guest photo wall, group chat, and video guestbook messages. When you interact with a couple's wedding page as a guest, the information you submit (for example, your RSVP, a photo or video message, or a chat message) is collected at the direction of the couple who created the page. The couple controls their page, decides who receives access to it, and is responsible for obtaining any consents needed from their guests, as described in Section 32 of our Terms of Service.

Content you submit to a wedding page may be visible to the couple and to other guests of that wedding. Photos and video messages you upload are licensed to WedStay as described in Sections 32.9 through 32.11 of our Terms of Service, and are retained for the storage window associated with the page's tier. To request removal of a specific photo or video that you uploaded or appear in, use the report link in the gallery or email info@thewedstay.com; we will use commercially reasonable efforts to honor verified requests, subject to the retention needs described in this policy and in our Terms of Service.

Cookies and Analytics

We use cookies and similar tracking technologies to analyze website traffic, understand how visitors interact with our platform, and improve your experience. By using our website, you consent to the use of cookies as described in this policy.

Google Analytics

We use Google Analytics to collect information about how visitors use our website. This includes data such as pages visited, time spent on the site, how you arrived at our site, and general geographic location (city/country level). Google Analytics uses cookies to collect this information, which is processed by Google to provide us with statistical reports about website activity.

You can opt out of Google Analytics tracking by installing the Google Analytics Opt-out Browser Add-on.

Advertising and Marketing Analytics

We use advertising pixels and conversion tracking from the following partners to measure the effectiveness of our marketing campaigns and to serve relevant advertisements:

  • Meta (Facebook/Instagram) Pixel: Tracks conversions from Meta ads and enables us to create custom audiences for advertising purposes
  • TikTok Pixel: Measures ad performance and conversions from TikTok campaigns

These pixels may work together with server-side measurement tools (the Meta Conversions API and the TikTok Events API), which send conversion events from our servers. When you opt out using the "Your Privacy Choices" link in our website footer, we suppress both the browser pixels and the corresponding server-side events for your browser or device.

These services may collect information about your browsing behavior across different websites to deliver targeted advertising. You can manage your advertising preferences through:

Essential Cookies

We use essential cookies that are necessary for the website to function properly, including cookies for authentication, security, and remembering your preferences. These cookies cannot be disabled.

Managing Cookies

Most web browsers allow you to control cookies through their settings. You can set your browser to refuse cookies or delete certain cookies. However, if you block or delete cookies, some features of our website may not function properly.

You can also opt out of advertising and analytics tracking directly, at any time, using the "Your Privacy Choices" link in our website footer.

Global Privacy Control (GPC)

We recognize and honor opt-out preference signals, including the Global Privacy Control ("GPC"), as valid requests to opt out of the sale or sharing of personal information. When our website detects a GPC signal from the browser of a California visitor, we treat it as a valid opt-out request for the browser or device from which it was sent.

Do Not Track (DNT)

Because there is no common industry standard for how to interpret "Do Not Track" browser signals, and because our analytics and advertising partners do not uniformly honor them, our websites do not currently respond to DNT signals. We do, however, honor Global Privacy Control signals as described above.

Visitors in the EEA, the United Kingdom, and Switzerland

WedStay is a United States business and does not direct its services to the European Economic Area, the United Kingdom, or Switzerland. We do not set advertising or analytics cookies, and we do not load advertising or analytics tracking technologies, for visitors we identify as located in those regions. Only cookies strictly necessary to operate the site, such as authentication and security, are used. Because we collect no consent-based tracking data from these visitors, no cookie consent banner is presented.

Mobile Analytics and Attribution

We use mobile analytics and attribution services (such as AppsFlyer) to understand how users discover and interact with our mobile app, measure the effectiveness of marketing campaigns, and improve app performance and user experience.

Information Collected

This includes collecting:

  • App events (such as sign-ups, searches, and booking requests)
  • Device type (iOS/Android)
  • App version
  • General usage patterns

We do not collect advertising identifiers (IDFA) without your consent. Analytics data is used solely to improve our services and is not sold to third parties.

You can opt out of analytics and attribution tracking in the mobile app at any time in Profile settings. Opting out does not affect core app functionality.

Data Security

We implement appropriate technical and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. However, no method of transmission over the internet or electronic storage is 100% secure, and we cannot promise or guarantee absolute security. Any information you transmit to us is provided at your own risk. You are responsible for keeping your account credentials confidential and for the security of the devices you use to access our Services; notify us promptly at info@thewedstay.com if you suspect unauthorized access to your account.

If a security incident affects your personal information, we will notify affected users and any regulators as required, without undue delay and consistent with applicable law.

Third-Party Authentication Security

When you use Google Sign-In, your authentication is handled directly by Google's secure servers. We never receive or store your Google password. Your Google credentials are protected by Google's security measures, and we only receive the profile information that Google shares with us after you grant permission.

Financing Data Sharing (Affirm)

When you express interest in or apply for financing through our partner, Affirm, Inc., we may share certain information with Affirm to facilitate the financing process. This data sharing is necessary to provide you with financing options and is governed by both this Privacy Policy and Affirm's privacy practices.

Information Shared with Affirm

When you request financing eligibility or apply for a loan, we may share:

  • Contact information: Name, email address, phone number
  • Booking details: Venue name, booking dates, and total amount to be financed
  • Account information: Your WedStay account identifier for transaction reference

Purpose of Data Sharing

Information is shared with Affirm for the following purposes:

  • Credit eligibility determination and loan underwriting
  • Fraud prevention and identity verification
  • Payment processing and loan servicing
  • Compliance with legal and regulatory requirements

Affirm's Privacy Practices

Affirm maintains its own privacy policy governing how it collects, uses, and protects your information. When you apply for financing through Affirm, you are also subject to Affirm's privacy practices. We encourage you to review Affirm's privacy policy at affirm.com/privacy before applying for financing.

Please note that once information is shared with Affirm, it is subject to their privacy practices and is no longer under WedStay's control. Your financing relationship is directly with Affirm, and any questions about how they handle your data should be directed to Affirm.

Third-Party Websites and Services

Our Services may contain links to third-party websites and services, such as vendor and venue websites, registries, social media platforms, and embedded content. These links are provided for your convenience. This Privacy Policy does not apply to those third parties, and we do not control and are not responsible for their content, availability, or privacy practices. Any information you provide directly to a third party, or through a third-party site, is governed by that party's own privacy policy, and you do so at your own discretion. We encourage you to review the privacy policy of any site or service you visit.

Your Rights

Depending on your location, you may have certain rights regarding your personal information, including the right to access, update, or delete your information. You may also have the right to object to or restrict certain processing of your information.

Account Deletion

You have the right to delete your WedStay account at any time. When you delete your account:

  • We will permanently delete your personal information from our active databases
  • Your profile, saved venues, and booking history will be removed
  • If you signed in with Google, the connection between your Google account and WedStay will be severed
  • Some information may be retained in backups for a limited period for legal and security purposes

To delete your account, please contact us at info@thewedstay.com with your request. We will process your deletion request within 30 days.

You can update your account information at any time by logging into your account. To exercise other rights or if you have questions about this policy, please contact us using the information below.

Marketing Communications

You can opt out of marketing emails at any time using the unsubscribe link included in every marketing email, and out of marketing text messages by replying STOP. Opting out of marketing does not stop transactional messages about your account, bookings, or requests, such as booking confirmations and security notices.

Data Retention

We keep personal information only as long as needed for the purposes described in this policy. As a general guide:

  • Account profiles: for the life of your account, then removed within 30 days of a deletion request (limited backup copies may persist for a short period for legal and security purposes).
  • Booking and vendor inquiry records: retained for our legitimate business and legal needs, and anonymized rather than deleted where we must keep transaction history.
  • Analytics and session data: retained on a rolling basis and deleted or aggregated on an ongoing schedule.
  • Records we must keep for tax, accounting, fraud-prevention, or other legal obligations: retained for the period required by law.

In deciding how long to keep information, we consider the amount, nature, and sensitivity of the information, the potential risk of harm from unauthorized use or disclosure, the purposes for which we process it, whether the information may be relevant to actual or reasonably anticipated legal claims or disputes (including applicable statutes of limitations), and legal and regulatory requirements. We also keep records of the privacy requests we receive for as long as required for legal compliance.

Your California Privacy Rights (CCPA/CPRA)

If you are a California resident, you have the right to:

  • Know and access — the categories of personal information we collect, the purposes for which they are used, whether we sell or share personal information, the categories of third parties involved, and the specific pieces of personal information we hold about you.
  • Delete — request deletion of your personal information, subject to certain exceptions provided by law.
  • Correct — request correction of inaccurate personal information.
  • Opt out of the "sale" or "sharing" of your personal information for cross-context behavioral advertising.
  • Non-discrimination — we will not discriminate against you for exercising any of these rights.

The "Categories of Personal Information" table above describes the categories of personal information we have collected in the preceding 12 months, the sources of that information, our business purposes for collecting it, and the categories we have "sold" or "shared" (as those terms are defined by the CCPA) with advertising partners. We do not use or disclose sensitive personal information for purposes that require a "Right to Limit" under the CCPA, and we have no actual knowledge of selling or sharing the personal information of consumers under 16 years of age.

How to Exercise Your Rights

Email info@thewedstay.com with the subject "California Privacy Request," or delete your account in-app (Profile → Account → Delete Account). We will confirm receipt and respond within 45 days, extendable by up to 45 additional days where permitted; we will notify you if we need more time. Account deletion requests are completed within 30 days. Opt-out requests are acted on no later than 15 business days after receipt.

Verification and Authorized Agents

Upon receiving your request we will need to verify your identity. We may ask you to provide certain information so that we can match it against the information we already hold. You may also designate an authorized agent to make a request on your behalf; we may deny a request from an agent who does not submit proof of valid authorization.

Opt Out of Sharing for Advertising

Use the "Your Privacy Choices" link in our website footer, or enable Global Privacy Control (GPC) in your browser. We treat a GPC signal from a California visitor as a valid request to opt out of the sale or sharing of personal information.

Other US State Privacy Rights

Residents of other states with comprehensive privacy laws (such as Colorado, Connecticut, Texas, and Virginia) may have similar rights to access, correct, delete, or obtain a copy of their personal information, and to opt out of targeted advertising, depending on the law of their state. You can submit a request using the same methods described above (email info@thewedstay.com or delete your account in-app), and anyone, regardless of state, can opt out of advertising and analytics tracking at any time using the "Your Privacy Choices"link in our website footer. We will honor requests as required by the law that applies to you. If we decline a request and your state's law provides an appeal right, you may appeal by replying to our response, and we will explain the outcome of your appeal.

Children's Privacy

Our Services are intended for adults 18 and older. We do not knowingly collect personal information from children, and we do not sell or share the personal information of anyone we know to be under 16. If you believe a minor has provided us information, contact us at info@thewedstay.com and we will delete it.

Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, our Services, or applicable law. When we do, we will post the updated policy on this page and update the "Last Updated" date below. If we make material changes, we will provide more prominent notice as required by law, which may include a notice on our website or an email to the address associated with your account. Changes take effect when posted unless we state otherwise, and the information we hold is subject to the then-current version of this policy. Your continued use of the Services after changes take effect means the updated policy applies to you. We encourage you to review this policy periodically.
