Which wedding planning tool is best for each job?

There is no single winner. Each tool is the right pick for a specific job, and many couples use two: one for the registry and one for the guests.

Best for: A free website and registry in one account

Zola

Visit

Zola puts the website, guest list, registry, budget and checklist in one free account, and its cash funds carry 0% fees. RSVPs can be collected per event, and the seating chart builds a separate floor plan for each event, free for up to 15 guests. Seating more guests and the QR disposable camera above 5 guests are paid upgrades, and guest texting is a paid plan.

Best for: Researching vendors near you

The Knot

Visit

The Knot lists nearly 200,000 wedding pros across more than 25 categories, and messages to any of them land in one inbox. The website, guest list with per-event RSVPs, registry, checklist and Budget Advisor are free. We did not find a seating chart tool or a guest photo tool on its pages.

Best for: A guest app with personalized schedules and live photos

Joy guests RSVP without creating an account, events can be invite-only, and each guest sees a personalized schedule in the Joy app. Guests can upload photos in the Joy app before, during and after the wedding, shown as a real-time slideshow at the reception. The seating chart is a paid one-time unlock per event, and we did not find a budget tool or planning checklist.

Best for: A free seating chart beside a vendor directory

WeddingWire

Visit

WeddingWire’s seating chart is free, handles every event and exports to print or email, alongside a free website, guest list, checklist and budget that estimates category costs. Its registry links your retailer registries in one place. Vendors can be found and messaged from the vendor manager.

Best for: Couples buying their printed stationery from Minted

Minted

Visit

Minted’s wedding website is free, with hundreds of designs, RSVPs enabled per event, private events and a guest list you can export in full. It links any retailer registry and adds built-in cash funds. The free website comes with a $50 credit toward printed stationery, and Minted can print guest names onto place cards.

Best for: A wedding weekend with guests staying onsite

WedStay One

See WedStay One

WedStay One is built for a wedding weekend at one property: the arrivals, the welcome dinner, the day itself, the farewell brunch and everyone staying onsite. The page, RSVPs with no limit on replies or guests, the guest list, the budget and the checklist are free. Pro ($199) adds the seating chart, the day-of timeline, vendor chat and a guest photo wall, and Premium ($599) adds Stay, which assigns rooms to guests sleeping over. Both are one-time prices.

What does a free wedding planning tool actually cost?

Here is what each company's own site says about how it makes money, plus the fees that reach you or your guests. Where a company does not say, we say so.

Zola
Zola says it makes money by selling wedding gifts and stationery through its store. Vendors list for free and pay to connect with couples, either per lead with credits or on a monthly unlimited plan. Zola cash funds carry 0% fees.
The Knot
The Knot sells advertising to wedding pros: WeddingPro Basic and Premium Storefront plans on The Knot and WeddingWire. The parent company reports 22.5 million leads a year sent to wedding pros. It also sells registry gifts directly. Cash funds are free when guests pay with a Venmo balance or bank account; a 3% fee applies on a linked credit card.
Joy
We did not find a page where Joy says how it makes money. Its pages do show paid add-ons (the seating chart, premium card designs, text messaging, Joy Print and a custom domain) and a registry shop. Cash funds through Venmo, PayPal or Cash App are free. Card gifts carry a 3.5% processing fee paid by the guest plus a $1.70 transfer fee, and Joy says it keeps no part of either.
WeddingWire
WeddingWire runs on the same WeddingPro vendor advertising program as The Knot: vendors pay for Storefronts and Premium placement on WeddingWire.
Minted
Minted says it charges only for optional premium upgrades: a fully custom URL at $15 a year and a $49 concierge setup. It also sells the printed stationery that the $50 credit goes toward.
WedStay One
WedStay One charges a one-time price for Pro ($199) or Premium ($599), with no subscription and a full refund for 14 days. Couples who book their venue through WedStay get Premium included, applied automatically. It has no registry of its own, so no registry fee applies: the page links to the registries you already have.

What tools do you need only for a wedding weekend?

A one-day wedding runs fine on a website, RSVPs and a seating chart. A wedding weekend with guests staying at the venue adds four jobs. Here is what each one is for and which tools list it.

Room assignments

When the wedding party and family sleep at the venue, someone has to decide who gets which room and tell each guest before they arrive.

Who lists it: We did not find room assignments on the Zola, The Knot, Joy, WeddingWire or Minted pages we checked. They cover hotel room blocks instead: details on the website, guest tags in Joy, and partner hotel blocks on The Knot. WedStay One includes Stay on Premium, which assigns rooms and tells each guest where they sleep.

RSVPs for each event

A welcome dinner, the wedding and a farewell brunch often have different guest lists, so one yes or no is not always enough.

Who lists it: Zola, The Knot, Joy, WeddingWire and Minted all collect RSVPs per event. WedStay One takes one RSVP for the whole page and shows every guest the full weekend schedule, so it suits a weekend where everyone is invited to everything.

A day-of timeline

Across two or three days, vendors and family need one running order that updates when something moves.

Who lists it: We did not find a day-of timeline tool on the Zola, The Knot, WeddingWire or Minted pages we checked. Joy gives guests personalized schedules. WedStay One’s Day-of Timeline, from Pro, is one running order that updates in real time on the phones of everyone working the day, alongside one chat thread for your vendors.

A guest photo wall

With guests around for a whole weekend, a shared wall collects the photos you would otherwise never see.

Who lists it: Joy collects guest photos in its app and shows them as a real-time slideshow during the reception. Zola’s disposable camera opens from a QR code with no app, free up to 5 guests and priced by guest count above that. WedStay One’s photo wall comes with Pro (75 guest cameras, 15 photos each) and Premium (200 cameras, 20 photos each), opens in any phone browser, and can run fullscreen on a projector.

How we compared these tools

We read each company's own product, pricing, help and vendor pages on October 20, 2026, and took every competitor claim from those pages. We did not use review sites or other roundups. Where a page gave a price or a fee, we used it exactly; where a feature was not on the pages we checked, the table says “Not listed”, which does not prove the feature is missing.

WedStay One is our own product, so we hold it to the same rule: its cells come from the plan settings the product actually runs on, and we list where it falls short, such as one RSVP for the whole page and no registry of its own. We update this page when a price or a feature changes.

Wedding planning tool questions, answered

The questions couples ask most when choosing where to plan.

What is the best wedding planning tool in 2026?

It depends on the job. Zola is the strongest free all-in-one for a website and registry, The Knot is built for researching vendors, Joy lets guests RSVP without an account and shows their photos as a live reception slideshow, WeddingWire includes a free seating chart, and Minted suits couples buying printed stationery from Minted. For a wedding weekend where guests sleep at the venue, WedStay One adds room assignments on Premium.

Zola vs The Knot vs Joy: which wedding planning tool should I use?

Choose Zola if you want the website, registry, budget and checklist free in one account, with 0% fees on cash funds. Choose The Knot if finding vendors is the main job, since it lists nearly 200,000 wedding pros. Choose Joy if you want guests to RSVP without an account, see personalized schedules and share photos to a live reception slideshow, keeping in mind its seating chart is a paid unlock per event.

How do free wedding planning tools make money?

Each one differently, so check its own pages. Zola says it sells gifts and stationery through its store and charges vendors to connect with couples. The Knot and WeddingWire sell advertising to wedding vendors through WeddingPro. Joy’s pages do not state a funding model; they list paid add-ons such as its seating chart and premium cards. Minted charges for optional website upgrades and sells stationery.

Which wedding planning tools have a seating chart?

WeddingWire’s seating chart is free. Zola’s is free for up to 15 guests, with a paid upgrade to seat more. Joy’s seating chart is a paid one-time unlock per event. WedStay One includes a seating chart from Pro ($199), and guests can find their seat on their phone. We did not find a seating chart tool on The Knot or Minted.

Which wedding planning tool does room assignments for guests staying onsite?

We did not find room assignments on the Zola, The Knot, Joy, WeddingWire or Minted pages we checked; they cover hotel room blocks instead. WedStay One includes Stay on Premium, which assigns rooms to guests sleeping over and tells each guest where they sleep.

What tools do I need to plan a wedding weekend?

Beyond a website and RSVPs, a wedding weekend needs four things: a schedule that covers every event, a way to collect replies for each event if guest lists differ, room assignments for anyone staying onsite, and a day-of running order your vendors share. Add a guest photo wall if you want everyone’s photos in one place.

Is WedStay One a subscription?

No. Starting a page is free. Pro is $199 and Premium is $599, both one-time purchases with no subscription and a full refund for 14 days. Couples who book their venue through WedStay get Premium included, applied automatically.

Do wedding guests need an app to share photos?

It varies. Joy guests upload photos through the Joy app. Zola’s disposable camera opens from a QR code with no app download. WedStay One’s photo wall, on Pro and Premium, opens from a link or QR code in any phone browser with no app or account.
